Our Services

Planning a conference, workshop or business meeting? Our professional conference coordinators and support staff are experienced in all facets of conference operation. We can assist you in identifying the essential elements of a successful conference and relieve you of the burden of working out a myriad of details. Our coordinators will work with you directly throughout the development and implementation process. They will assist you in identifying your specific conference requirements and developing a price package that accommodates your individual needs. Choose our comprehensive event management services or select from our a la carte menu of offerings. Either way, our team has the expertise to make your next event a success.

Our offerings include:

Planning & Development Consultation
• Develop conference management plan and critical event timeline
• Conduct follow-up meeting to debrief committee and/or begin plans for next event

Services Management
• Design conference web site
• Duplicate materials
• Produce/distribute printed programs
• Order instructional materials, textbooks, and supplies
• Arrange for local transportation and parking
• Develop and summarize evaluations
• Order gifts, favors, awards, and certificates
• Coordinate displays or decorations

Fiscal Management
• Manage contractual agreements with facility and service providers
• Secure purchase orders for vendors
• Prepare contracts for presenters and process payments for honoraria and/or expenses
• Recommend registration fees
• Authorize payment of bills
• Maintain income statement for conference revenue and expenses
• Prepare preliminary and final financial reports
• Transfer balances and/or fiscal activities to appropriate accounts

Registration Management
• Design and develop online registration forms
• Meet university guidelines for secure online registration
• Receive and process registration and fees online and on-site

• Provide registration invoices
• Process and deposit funds, including cash, credit card charges, checks, money orders, purchase orders, and refunds
• Convey registration status updates
• Provide current participant data
• Manage conference housing and provide housing lists
• Furnish income reports and registration summaries
• Provide name tags
• Assemble packets, including collation and insertion of materials
• Supply staff for on-site computerized registration

On-site Operation
• Conduct pre-conference meeting with facilities personnel
• Arrange delivery and pick-up of conference materials and/or equipment
• Verify contracted services
• Serve as a liaison between client and facility
Marketing
• Designing, producing and distributing promotional materials such as save-the-date cards, brochures, and email marketing pieces
• Conducting your Call For Papers
• Provide mail list management
• Provide contact with appropriate local, state, and national media
Facilities Management
• Assist in selection of on- or off-campus event site
• Reserve facilities on behalf of client
• Negotiate and manage contracts with facility and service providers
• Confirm meeting set-ups and food
arrangements
• Provide on-site conference management
